Fixing Format, Tone, and Focus

Three Common Output Problems

AI often gives you something close to what you wanted, but not quite right. These problems are easy to fix.

Problem 1: Format Drift

You ask for one format and get another.

Examples of Format Drift

You asked for: Bullet points You got: A paragraph

You asked for: A table You got: A list

You asked for: An email You got: A memo

How to Fix Format Drift

The magic phrase: "Try again, but this time in [format]."

Examples:

"Try again, but this time as a bulleted list."

"Try again, but this time in a table with 3 columns: action, responsible person, deadline."

"Try again, but this time as an email I can send directly to the team."

That is it. Usually AI fixes this in one try.

Problem 2: Wrong Tone

You wanted a certain tone and got a different one.

Examples of Tone Mismatch

You asked for: Friendly and casual You got: Corporate and formal

You asked for: Professional You got: Too casual

You asked for: Confident You got: Uncertain

How to Fix Wrong Tone

Again, use the magic phrase: "Try again, but this time [tone]."

Examples:

"Try again, but this time make it friendlier and less formal."

"Try again, but this time sound more confident and less apologetic."

"Try again, but this time write like you are talking to a friend, not a CEO."

Problem 3: Off-Topic Answer

AI answered a different question than what you asked.

Examples of Off-Topic Answers

You asked: "What should our return policy be?" AI answered: "Here are the benefits of having a return policy."

You asked: "Write a job posting for a salesperson." AI answered: "Here are tips for hiring salespeople."

You asked: "Summarize the benefits of remote work." AI answered: "Here are the drawbacks of remote work."

How to Fix Off-Topic Answers

Be more specific in your follow-up:

"You answered the wrong question. I asked [what you asked]. Please answer that question specifically."

Or give a more detailed follow-up:

"I asked for a job posting, not hiring tips. Please write a formal job posting for a salesperson. Include: job title, responsibilities, required skills, and how to apply."

Real Examples of Fixes

Example 1: Format Drift

Original prompt: "Summarize our meeting."

AI output: A 2-paragraph summary

You wanted: Bullet points

Your fix: "Try again as a bulleted list. Include decisions, action items, and who is responsible."

Example 2: Wrong Tone

Original prompt: "Write an email to a customer whose order was delayed."

AI output: A formal, apologetic email

You wanted: Friendly but professional, with a positive spin

Your fix: "Try again. Make it friendlier and more positive. Include something we are doing to make it right."

Example 3: Off-Topic Answer

Original prompt: "Write a social media post about our new feature."

AI output: "Here are 5 reasons to promote your new features."

You wanted: An actual post you can copy and paste

Your fix: "I asked for a social media post, not tips on how to promote. Write the actual post. It should be 1-2 sentences, exciting, and under 280 characters."

The Iteration Mindset

These fixes usually work because:

  1. AI understands what you want
  2. You are being specific about what is wrong
  3. You are asking for a small change, not a complete redo

This is iteration. It is faster than starting over.
