Why Outline First
Most people ask AI to write a full report in one prompt. That rarely works. Instead, ask for an outline first. Then expand section by section. This way, you keep control and the output is better.
The Report Workflow
Step 1: Set the Stage
Tell AI the topic, who will read it, and what they need to decide.
Example: "I need a project brief for our new hiring system. My CEO will read this. She needs to decide if we should build it in-house or buy a tool."
Step 2: Ask for an Outline
Ask AI to create a structure. This takes 30 seconds and saves you hours.
Prompt: "Create an outline for this brief. Include sections for: problem, current situation, two solutions, pros and cons, and a recommendation. Keep it to 5 main sections."
Example outline:
- The Problem (what is broken today)
- Current Situation (what we have tried)
- Option A: Build In-House (pros and cons)
- Option B: Buy a Tool (pros and cons)
- Recommendation (which is better)
Step 3: Expand Section by Section
Now work on each section. This gives you control and lets you add your own details.
Prompt for one section: "Write the 'Problem' section for this brief. We hired 50 people last year but 30% quit in the first 6 months. The main reason is confusion during onboarding. Keep it to 200 words. Use data if possible."
Repeat for each section. Add your own facts and numbers before asking AI to draft.
Step 4: Ask for a Summary
At the end, ask AI to write a one-page executive summary. This is what busy leaders will actually read.
Prompt: "Write a one-page executive summary of this brief. Start with the problem. End with the recommendation. Use bold for key numbers."
Why This Works
When you outline first, AI knows the structure. When you add context section by section, the draft is smarter. You stay in control.
Three Report Templates
Template 1: Weekly Update
For: Your manager or team What it covers: What you did, what is next, any blockers
Prompt: "I need a weekly update for my manager. This week: [three accomplishments]. Next week: [three plans]. Blockers: [one issue]. Make it positive and clear. Under 300 words."
Example: "WEEKLY UPDATE
Accomplishments:
- Launched the new pricing page (3 days ahead of schedule)
- Collected feedback from 15 customers
- Fixed two critical bugs
Next Week:
- Run A/B test on pricing page
- Implement customer feedback
- Plan Q2 roadmap
Blocker: We need design review time. Current wait is 5 days. Can we add one more designer to the rotation?"
Template 2: Project Brief
For: Leadership or a client What it covers: Problem, proposal, timeline, budget, risks
Outline structure:
- Problem (why this matters)
- What we plan to do
- Timeline (start and end dates)
- Budget or resources needed
- Top risks and how we will manage them
- Success metrics (how we know it worked)
Prompt for each section: "Write the [section name] section. Here are the details: [your facts]. Keep it to [word count]. Make it clear and persuasive."
Template 3: Executive Summary
For: Busy leaders who will not read the full report What it covers: The absolute essentials
Prompt: "Write a one-page summary. Start with a 2-sentence summary of the problem. Then list key numbers (any data that matters). Then state the recommendation. End with the one thing the reader needs to do. Use bold. Use short paragraphs. No jargon."
Example: "EXECUTIVE SUMMARY
The Problem Our customer onboarding takes 4 weeks. Competitors do it in 1 week. We lose deals because of this.
Key Numbers
- 40% of prospects drop out during onboarding
- We estimate this costs us 200k per year in lost sales
- A new onboarding system costs 50k to build
Recommendation Build a new onboarding system in-house. We will recover our investment in 3 months.
What We Need Approve the budget by Friday so we can start next week."
Write Your First Report
Pick a report you need. Start with step 1. Create an outline. Do not write the full thing yet. Just the outline. Then share it with a colleague. Does it cover everything? Now you are ready to expand section by section.
