Writing emails takes time. You often rewrite them to get the tone right. AI can help you draft quickly and sound professional every time.
The Four-Step Email Workflow
Step 1: Tell AI Who and Why
Start by explaining the context. Who are you writing to? What do you want them to do?
Example: "I need to write an email to my manager Sarah. I want to tell her about a project delay and ask for help."
Step 2: Give Key Points
List what you want to say. You don't need full sentences. Just bullet points.
Example:
- Project is delayed by 2 weeks
- The client added new requirements
- We need more resources to finish on time
- Ask if she can talk today
Step 3: Ask for a Draft
Tell AI the tone you want. Professional? Friendly? Casual? Ask for a draft.
Example prompt: "Write a professional but friendly email with these points. Keep it under 150 words."
Step 4: Refine
Read the draft. Does it sound like you? Is it too long? Too formal? Ask AI to adjust.
Example: "Make it warmer. I want Sarah to feel I am being proactive, not panicking."
Four Email Templates
Template 1: Reply to a Complaint
Who: A customer or colleague upset about something Goal: Apologize, explain, and offer a fix
Prompt: "Write a professional email replying to [person]. They are upset because [reason]. Apologize, explain what went wrong, and offer this solution: [solution]. Keep it under 200 words. Make it warm and sincere."
Example answer: "Subject: We got this fixed for you
Hi Jordan,
Thank you for letting us know. I understand how frustrating this is. The issue happened because our team missed a detail on your first request. That's on us.
Here's what we are doing right now: [solution]. You should see it in place by [date].
I will follow up personally on [date] to make sure it worked. If you have any issues, reply directly to me.
Sincerely, [Your name]"
Template 2: Follow-Up After a Meeting
Who: People who attended the meeting Goal: Recap decisions and next steps
Prompt: "Write a follow-up email after a meeting with [people]. We discussed [topic]. Decisions made: [list]. Next steps: [list]. Keep it brief. Friendly tone."
Example answer: "Subject: Follow-up from today's meeting
Hi everyone,
Quick recap from today so we are all on the same page.
What we decided:
- Move the launch to June 15
- Sarah will handle the vendor contract
- I will prepare the training materials
Next week, I will send the draft contract for everyone to review.

Template 3: Cold Outreach
Who: Someone you have never emailed Goal: Introduce yourself and start a conversation
Prompt: "Write a short cold outreach email to [person] at [company]. I am reaching out because [reason]. My goal is [what you want]. Keep it under 100 words. Make it personal and genuine."
Example answer: "Subject: Quick idea for [company]
Hi [Name],
I have been following [company] for a while. Your recent work on [specific thing] caught my attention because I do similar work in [your field].
I have an idea that might help with [specific challenge]. Would you be open to a quick call next week?
No pressure either way.

Template 4: Internal Update
Who: Your team or department Goal: Inform about progress or status
Prompt: "Write a status update email for my team. This week we: [accomplishments]. Next week we: [plans]. One concern: [issue]. Keep it friendly and clear."
Example answer: "Subject: Weekly update
Hi team,
Here is what we shipped this week:
- Launched the new homepage (10% faster)
- Fixed the checkout bug
- Collected feedback from 20 customers
Next week:
- Run user tests on the new flow
- Start work on the mobile app update
